Refund Tips

Cancelling an Order and removing payment does NOT cancel the payment.  Instead use Issue Refund, available from the Payments Menu in the Order Manager.  Then cancel the order for inventory restocking and for Forms Report accuracy.

 

If it is necessary to refund an order, you need to wait 24 hours before issuing a refund.  Your customer will have access to those funds quicker.

Whether you are an existing ePayTrak 4.0 user, or have been considering an ePayTrak implementation for your organization, we think you will find the enclosed information useful AND exciting! We have made improvements to ePayTrak during the past few months, and just wanted to give you a brief overview of some of the more popular new additions.
 
Recent ePayTrak Upgrades & Improvements 

 

To our current ePayTrak users, we would like to say thank you for helping to make 2011 a great year!! To those who are considering ePayTrak for your district, we would like to invite you to take a closer look at the industry's best school payment solution.  

 

We have a number of exciting new features that put ePayTrak even further ahead of the school payment vendor field! Below are some of the exciting new features you will see in the next few weeks.

 

Reporting Upgrades

 

There are four new reports that we think you will find very useful!

  • Missing Accounting Code Report was recently released. This report shows any products/classes that do not have an accounting code attached to them. Just add an accounting code to those products and your Accounting Code reports will be updated to ensure accuracy.
  • Deposits by Date by Tender Type Report. This new deposit report categorizes and summarizes all deposits by Tender Type. For those of you taking in a lot of checks and cash and using features such as our new fee management solution, this will make for much easier bank reconciliation and cash tracking.
  • Activity by Accounting Code by Sku Report. This report shows and groups Sku data within each accounting code. Great for those who want to see further product revenue detail for each accounting code.
  • Merchant Fee Allocation Report. Enter the Merchant fees from your Merchant statement for a selected date range and this report shows the amount applied to each accounting code for that time period. We have a number of schools doing this with Excel spreadsheets, now it's just a click of the button.

Summary of Other New Features

  • Refunds now show on all accounting and department code reports: We've made a major change in how you issue refunds. Any time you give a whole or partial refund, you are able to select the line items (including tax or shipping) that the refund applies to. This allows for each refund to be applied exactly how you want it, creating a new transaction for that day that is logged by account and department codes!  
  • Merge User Accounts: If a family or individual has created multiple accounts within the system, you can now merge all of their participant data and order history into a single account. You simply select which account will be the 'master' account, enter which accounts get merged into that account, and click the button.
  • Dynamic e-mail improvements: We have made a number of improvements to our dynamic e-mail functionality, including: 1) Ability to send e-mails to a group of people and have each person's own specific order info show on their own e-mail. 2) Ability to include only completed orders in dynamic e-mails. 3) Ability to attach documents to a dynamic e-mail.
  • ePayTrak is now integrated with WordWare: If you use Wordware for your foodservice management, you can now have a single portal for ALL district online payments.
  • You can now assign the codes you wish to use for Shipping and Taxes for your Department and Accounting Code reports.
  • New Registration Fields: We have added eight custom, required registration fields for the account creation screen. You can use one or all eight, and label them anything you like.
  • Family ID: In addition to the individual student ID, we have now added a Family ID that can be verified against the database, and individual products can be selected to require a valid Family ID.
  • Hosted CIM: You will notice a new pop-up frame when entering or editing cardholder information and card numbers. This is a secure window directly on Authorize.net's site, and takes us the last step in completely eliminating PAN (personal account numbers) from ever touching your ePayTrak site.

ePayTrak Tips
  • To maintain Forms Report accuracy, be sure to cancel the order after processing a refund.
